EndNote: One Time Settings

Saving EndNote Libraries

EndNote libraries should be kept on your computer's hard drive. Storing and editing libraries on a network drive can lead to corruption and performance issues.

EndNote libraries should never be stored in cloud-syncing folders such as DropBox, OneDrive, Box, iCloud, etc. Syncing folders corrupt EndNote libraries over time. 

EndNote Sync allows libraries can be synchronized between desktop and laptop computers, the online library, and an iPad

One Time Settings

The following settings only have to be set up once, when creating the first EndNote Library. These settings and preference will be retained in any new libraries created.

Journal abbreviations

Some journals require the use of journal abbreviations for references. If you might ever need to use a citation style that requires journal abbreviations, then before adding any references to a new EndNote library, import a Journal Terms List as described below

First, disable automatic updating of journal terms when downloading references from databases.

[WINDOWS] Edit --> Preferences --> Term Lists -->

Uncheck these two options …
Update lists when importing or pasting references
Update lists during data entry

The importance of this step cannot be understated! This will prevent the addition of “bad” information about journals to your Journal Terms when new references (with “bad” journal data) are added to EndNote.

Second, import a journal term list.

  1. Library --> Open Term Lists --> Journals Term List --> Lists tab --> Journals --> Import List
  2. Navigate to Applications/EndNote/Terms Lists, select a relevant Journal Terms list (such as Chemical or Medical) and click Open. Import additional Journal Term lists as needed. Typical combinations include: Medical, Biological, and/or Chemical.
  3. Close the Term Lists box.

If you have already added references to your EndNote library, the easiest thing to do is to delete the existing journal terms and then import a Journal Terms list as described above.

Library --> Open Terms Lists --> Journals Term List --> Highlight all journal terms --> Delete Term(s)

When you add a reference for a journal that is not on the journal terms list, you can create an entry for the journal.

Library --> Open Terms Lists --> Journals Term List --> Terms tab --> New Term --> Fill in journal title  and abbreviation information as needed

Full Text PDF Settings

Endnote can be set up to retrieve available full text PDFs for records added to a library. To set up this feature:

1. [MAC] ENDNOTE21--> Settings --> Preferences --> Find Full Text

    [WINDOWS] Edit --> Preferences --> Find Full Text

2. Select each of the search options to find available full text through Web of Science links; DOI; PubMed LinkOuts; and Open URL.

3. For OpenURL Path paste in http://resolver.ebscohost.com.spot.lib.auburn.edu/openurl 

4. By default, the option to automatically look for full text PDFs on all newly-imported reference is NOT selected. This saves on file size but may be checked to accommodate workflow preferences.

 

By default, Endnote will keep the PDF file names available at import. To change these to standardized naming system select the following:

[MAC] ENDNOTE21--> Settings --> Preferences --> PDF Handling

[WINDOWS] Edit --> Preferences -->  PDF Handling

Select the preferred naming convention. Examples are below:

                Author+ Year+ Title Colburn-2022-Nursing Education and Social Determinants of Health

                Author + Year Colburn-2022
